Digital tools and department for maintenance of procedures and policies

Questions

  1. Who holds trust wide responsibility for the maintenance of procedures and policies?
  2. What digital tools does the trust use for the staff to reference these procedures and policies? - ie – intranet
  3. How does the trust record that staff have read and comply with the procedures and policies?
  4. Which tools are used for on-boarding new staff in relation to reading procedures and policies?
  5. How do the heads of department monitor that clinical and non clinical staff have read/understood mandatory procedural updates?

Response

  1. The Corporate and Clinical Compliance team are responsible for managing the process regarding policies and procedures.
    Controlled Document Leads and Sponsors are responsible for the content and updating of their own individual documents.
  2. The Trust Intranet.
  3. When staff join UHB they must attend a mandatory staff training course which covers the mandatory policies and procedures adopted by UHB. Staff are advised where they can obtain copies of documents on the intranet. UHB staff must maintain their mandatory training requirements as specified.
  4. Staff attend mandatory staff training (covering mandatory policies and procedures) via a UHB Course on the Moodle Platform. Reports are generated to identify staff who have not completed this course.
  5. Staff adherence to mandatory procedures and policies are reviewed at 1-2-1 meetings with line managers and in team meetings. Staff will be notified of procedural updates in UHB newsletters.
